Know what you owe, and when it is due
Enter or photograph a vendor bill, approve it, record the payment you made, and see what is due this week. BillingMart records the payments you make; it does not send money to your vendors.
Track and approve
Every bill, in one place
Get the bill in, check it, and approve it before it counts as owed.
Vendors and bills
One record per vendor, and a bill for each invoice you receive, with its due date, line items and tax.
From a photo
Photograph or upload a vendor bill and BillingMart reads it into a draft. You check it and choose the vendor before it is filed.
Approve before it counts
A bill is entered, then approved by a person on your team. An Agent can draft a bill for you; it cannot approve one.
Record
The payments you make, on the record
You pay a vendor the way you do today, then record it here.
Record what you paid
Cash, check, bank transfer or card, with a reference. Partial payments are fine, and the bill shows what is still owed.
Corrections keep a trail
A payment recorded by mistake is voided, not deleted, so the history stays honest for your accountant.
Every change is logged
Who entered, approved, paid or voided a bill is in the activity log, taken from the signed-in person, never from the request.
What is due
See the week before it arrives
Reports built from the bills themselves.
What is due
AP ageing groups what you owe by how overdue it is and by vendor, in each currency.
A week-by-week view
A cash-out forecast for the weeks ahead, so you can see a tight week before it arrives.
Overdue, flagged
A bill past its due date is marked overdue for you each day, so it cannot slip by.
Costs
Costs that become invoices
The other half of payables: what you spend on a customer’s job.
Time, expenses and mileage
Capture a receipt, log time or start a trip from your phone, and the costs you choose to pass on become lines on the customer’s invoice.
Several businesses, one workspace
Keep each business’s bills, vendors and reports apart, and limit a teammate to the businesses they work on.
Plainly
What it does not do
So you can decide with the full picture.
- It does not pay your vendors. It records the payments you make elsewhere.
- A bill has one approval step. Thresholds and several approvers are not available yet.
- It exports a file; there is no live sync with QuickBooks or another accounting system.
- It does not prepare 1099 forms or manage purchase orders, and it has no vendor portal.
- Money coming in has its own page: accounts receivable.
Questions
Bills and payables, answered
Does BillingMart pay my vendors?
No. BillingMart records the payments you make; it does not send money to your vendors. You pay a vendor the way you do today, then record it against the bill with the method and a reference, and the bill shows what is still owed.
How does a bill get approved?
A bill is entered as a draft, and a person on your team approves it, which moves it to open and awaiting payment. An Agent can draft a bill for you but cannot approve one. A bill has one approval step; thresholds and several approvers are not available yet.
Can I add a vendor bill from a photo?
Yes. Photograph or upload a bill and BillingMart reads it into a draft for you to check before it is filed. It never files a bill on its own, and you choose the vendor.
Does it sync with QuickBooks?
Not yet. You can export your invoice lines as a CSV file in a layout QuickBooks Online imports. There is no live connection to QuickBooks or another accounting system.
Does it track 1099s or purchase orders?
No. A vendor record holds a tax id as text, but BillingMart does not collect W-9 forms or prepare 1099 forms, and it has no purchase orders. Talk to your accountant about year-end forms.
