Send it, get paid, and see what is late
Estimates that become invoices, a pay link or QR code on every one, reminders that go out on a schedule, and a view of who owes you what. The Agent drafts the work; nothing it drafts reaches a customer or charges a card until a person approves it.
From estimate to paid
One flow, start to finish
Each step hands the same lines to the next, so nothing is typed twice.
Estimate, then invoice
Send an estimate your customer can accept or decline online. An accepted estimate becomes the invoice in one step, with the same lines.
Invoice, any way you work
One-off or recurring on a weekly to yearly schedule, with deposits, progress billing and retainage release for jobs, your logo and your numbering.
Pay link and QR code
Every invoice carries a link and a QR code that open a secure pay page. The amount is worked out on our servers, to the cent, never trusted from the browser.
Getting paid
Card on a link, everything else on the record
Card payments run on a secure pay page, and BillingMart keeps only the last four digits and the card type.
Card, in one tap
Customers pay by card on your pay page, save a card for next time, and can see every bill you have sent them in one portal.
Payments that arrive another way
Record cash, a check or a bank transfer against the invoice, in full or in part, and the balance follows.
Refunds, credits and write-offs
Refund a payment, issue a credit that reduces the balance, or write off what will not be collected, each with a reason on the record.
Chasing what is late
Reminders that sound like you
You set the schedule and the wording; the Agent can draft both.
Reminders on your schedule
Email and, where the customer has agreed, text messages go out before and after the due date. Pause them on any one invoice.
Who is likely to be late
Expected pay dates come from each customer’s own payment history, not a guess. A customer with too little history gets none rather than a made-up one.
Statements on demand
Send a client a statement for a period as a PDF in one click, per currency.
Know where you stand
Reports built from the same records
No second copy of the numbers: the reports read the invoices and payments themselves.
AR ageing
What is owed, grouped by how late it is, in each currency, down to the invoice.
Cash-flow forecast
Thirty, sixty and ninety days ahead with a low and a high case, from how your customers actually pay.
Reconciliation
Your ledger checked against its own invoices and against your card settlements, so a difference is found by us, not by your accountant.
Your books
Alongside the accounting system you already use
BillingMart handles the billing side. It does not replace your accounting system, and it does not connect to one live yet.
- You can export invoice lines as a CSV file, including the layout QuickBooks Online reads when you import invoices.
- Late fees are not added automatically: you add one as a line, so the amount and the wording stay yours.
- Customers pay by card on the pay page today. A bank transfer can be recorded against an invoice by you.
- Money going out has its own page: bills and payables.
Questions
Accounts receivable, answered
Does BillingMart add fees to my payments?
BillingMart takes no percentage of the payments you collect. You pay a flat monthly price for your plan, and your card processor’s normal rate applies, unless the optional customer card-fee program is set up for your workspace: your customer then pays a Handling Fee on card payments. The pay page shows it before they pay, and a charge to a saved card includes it.
Can my customers pay by bank transfer?
Not yet in the app. Customers pay by card from a pay link or QR code today, or you can record a payment that arrived another way, such as cash, a check or a bank transfer.
Does it add late fees automatically?
No. It sends reminders on your schedule, and if you charge a late fee you add it as a line on the invoice or statement yourself. That keeps the amount, and the wording, under your control.
Does it replace my accounting system?
No. It handles the billing side and works alongside the accounting system you already use. You can export invoice lines as a CSV file, in the layout QuickBooks Online reads when you import invoices. There is no live sync with an accounting system yet.
Who approves what the Agent drafts?
In Ask, the default, each request waits for a signed-in person to approve it; Plan is a dry run that saves, sends and charges nothing; in Auto, which only the workspace owner can switch on for a connection (signing in again with a second factor, on a plan with auto-approve rules), the owner’s capped rule approves the requests it covers, and for a connected assistant refunds, voids, card or bank entry and the other never-auto requests still wait for a person.
