For hvac contractors

Install jobs with a deposit, service agreements with autopay

HVAC revenue comes in two shapes: the system replacement that is quoted, approved and paid in parts, and the service agreement that renews every season. Both depend on the customer saying yes on paper and paying without being chased.

The billing problems hvac contractors actually have

  • A system replacement is a large ticket that most homeowners pay over time.

An installment plan splits the invoice into scheduled payments, and the customer can put them on autopay.

  • Seasonal tune-up agreements renew and nobody sends the renewal invoice.

A recurring invoice raises the agreement on its date every year or every season, so the renewal goes out on its own.

  • Quotes sit unanswered because the customer has to call back to approve.

The customer approves the estimate from the link in the email, and the approved estimate becomes the invoice.

Questions

Can I choose how many installments a customer pays in?

Yes. You set the number of payments and their schedule when you create the plan.

Can a service agreement renew on autopay?

Yes, once the customer has consented to autopay on that recurring schedule; each invoice is charged to their saved card or bank account.

Can I see which agreements are due to renew this month?

Yes. The recurring schedules list shows each schedule’s next date.
